Guidelines for Inter-Library Loan
1. Inter-Library Loan
1.1. Southern University College Library provides Inter-Library Loan Services (ILL) to users in the event if any book or article in periodical is not available in the Library collections. This service will assist the users to obtain the desired book or photocopy of article from other Libraries in Malaysia and it is extended to Southern UC lecturers and staff. This service is provided to support research, teaching and learning programs of the University College and please take note that any request must be related to these activities.
1.2. There will be charges applied for each item requested. The Library will notify users about the cost before proceeding with the request.
2. Application Procedures
2.1. Before requesting materials, applicants are required to check the item against the Southern UC Library catalogue and Online Databases to ensure that the items are not available in the Library.
2.2. Applicants are required to check other Malaysia Libraries Web Opac as listed (refer to ILL Library Web Opac Lists).Any request to unlisted libraries will require special handling. The Library makes effort to obtain the material in the shortest time possible. You will be notified by email if your requested material is unable to be obtained.
2.3. Applicants are required to fill in the Inter Library Loan Form (SPP) at the Circulation Counter legibly and completely with required details (refer to the Sample Form). The incomplete details may cause delay in obtaining the material.
2.5. The ILL Proceeding time will be fixed on every Tuesday.
2.6. Follow up action will be taken once on last Tuesday of every month.
3. Applicants’ Responsibilities
3.1. Applicants have to respect and follow any rules placed on them by the lending libraries to maintain the Library’s borrowing privileges with other libraries. For examples, postage, number of requested item, etc.
3.2. Applicants are allowed to request maximum 10 items per month (includes the fail/cancel ILL request). No advance application is allowed.
3.3. Keep record of all the items you have requested.
3.4. Cancellation is not allowed once the request has been processed.
3.5. Applicants will be notified by email when the ILL item arrives.
3.6. Requested item may be collected at the circulation counter during office hours.
3.7. Collect the items you have requested and return them promptly in good condition.
3.8. Please take note that applicants still have to pay for the charges even if you do not collect the requested materials after being notified of their receipt.
3.9. The due date of ILL item will be 10 days earlier than the due date which is given by the lending library.
3.10. Renewal of ILL item is not allowed.
3.11. Applicants are responsible for any fees incurred because of overdue, misplaced or damage.
4. Charges and Payment
4.1. Applicants have to pay the proceeding fee ofRM2 per item when they submit their requests.
4.2. Applicants are responsible for the returning postage of requested items. A minimum pre-paid postage of RM10 per item will need to be paid when collecting the ILL items. The balance of the pre-paid postage will be refunded to applicants after the items have been delivered back.
4.3. All payments must be made in cash, except for special conditions.
